What is COLLECT ?
The rCash COLLECT system automates rent payment processing and cash management for property management companies. COLLECT consists of a software application accessed in a Web browser over the Internet, and a lockbox processing center that eliminates the costly, manual tasks associated with traditional accounts receivable.
When does COLLECT scan and process my company's rent payments?
Checks and money orders received at the COLLECT Processing Center are scanned, processed, and available for viewing on the same day that the rent payment is received at the processing center. One-time credit card transactions are processed when they are submitted and one-time ACH transactions are processed on the same day that they are submitted. Recurring credit card transactions and recurring ACH transactions are processed on the day that they are scheduled for creation.
How does COLLECT work with my company's accounts receivable systems?
COLLECT automatically synchronizes data with your company’s accounts receivablesystems. Property, tenant, and rent bill data are retrieved from these systems and sent to COLLECT. As necessary, stop files are also sent to COLLECT. After a transaction is deposited, COLLECT then posts transaction information into your accounting systems.
How often is my company's accounts receivables system updated?
The accounts receivables system is updated according to a schedule that you create. You may choose to update your system once a day for transactions processed at the processing center, and every hour or on demand for electronic transactions.
Can COLLECT work with multiple accounts receivable systems at the same time?
Yes. COLLECT can be integrated with multiple accounts receivablesystems simultaneously. COLLECT delivers a single, consistent process for the entire accounts receivablefunction across the enterprise. You can view accounts receivableactivity across all of your company’s systems using one simple interface.
Which accounts receivable software systems is COLLECT compatible with?
COLLECT can be integrated with any accounts receivablesystem. The COLLECT Integration Toolkit details the XML and CSV specifications designed to help you extend the COLLECT application to your various accounting systems such as Yardi, CTI, MRI, B.J. Murray, and others.
How does COLLECT handle exception transactions?
The Online Review Detail screen enables you to process exception transactions. You can choose to accept a transaction, in which case it is deposited into the bank and the tenant account is updated as paid, or you can return a transaction, in which case the transaction is returned to the property management office for appropriate processing.
How does COLLECT identify exception transactions?
COLLECT’s CCT feature is a user-defined group of payment processing rules. When a transaction matches one or more rules in the CCT, COLLECT processes the transaction based on the setting for the matching conditions. A transaction can be accepted (in which case it is deposited), placed in online review (for exception processing), or returned to your office.
How can I stop a payment from being processed?
There are two ways that you can stop a payment from being processed by COLLECT. You can send a stop file listing tenants to not accept payments from to COLLECT from your property management system. COLLECT then flags the indicated tenants and any payments from the stopped tenants appear in online review. You can also log into COLLECT and use the Hawkeye feature to manually flag a tenant. Likewise, payments from tenants with a Hawkeye selected also appear in online review.
Do all of my rent payments have to be sent to COLLECT?
No. You decide which rent payments are processed by COLLECT. However, your best gains in operating efficiency will be realized when COLLECT serves as your single process solution for all AR transactions.
What is a PO box number?
COLLECT uses standard PO box numbers that are issued by the post office, more commonly known as a “lockbox.” A company establishes one or multiple PO box numbers and tenants send their rent payments to these PO box numbers. Early each morning on banking business days, all the mail that was sent to the PO box number is delivered to the COLLECT Processing Center. At a minimum, a PO box (or lockbox) is required for each depository bank.
How long are the check images and associated data available online?
The average time is 24 months. Your product specialist will help you to determine how long your images and data need to be available online in COLLECT. At the end of this predetermined period, COLLECT can extend online storage for an additional fee or you can use the Archiving Toolkit to download your data and images to an off-line system.
Is COLLECT able to handle electronic transactions?
Yes, COLLECT supports ACH and credit card transactions.
Can I print a copy of a check?
Yes. Printing a copy of a consumer check or a corporate check is as easy as clicking the Print icon.
What are the computer requirements for using COLLECT?
Your computer must have the latest version of Internet Explorer and a dedicated broadband Internet connection. Due to its comprehensive imaging capabilities, the minimum screen resolution required for COLLECT is 1024 x 768. Is COLLECT secure?
Yes. COLLECT was developed with a sophisticated security administration system that enables you to control who has access to what information. For example, you can set access privileges so that each property manager or staff member can only view and process transactions on the database instance, lockbox, and property levels.
